1Word processing & starting MS Word

A word processor is application software used to type, edit, format and print documents. Microsoft Word is the most popular one. It was made by Microsoft; Charles Simonyi helped create it.

With Word you can:

Starting Word

  1. Click the Start button.
  2. Scroll down and click Word.
  3. The start screen, called the Backstage View, appears. Here you can create, open, save, print and share documents.
  4. Click Blank document. Word opens a new document with the temporary name Document1.

The small blinking line is the cursor (insertion point) β€” the next letter you type appears there. When a line is full, Word moves the text to the next line by itself. This is called Word Wrap. Press Enter only to start a new paragraph.

2The Word window & basic operations

Document1 - Word β€” ☐ βœ• File HomeInsertDesignLayoutReferencesMailingsReviewViewHelp Paste βœ‚ Cut⧉ Copy Calibri (Body) β–Ύ 11 β–Ύ BIU xβ‚‚ xΒ²Aa A Styles ClipboardFontParagraphStyles My favourite festival is Diwali. The Word window (drawn mock-up). The circled arrow in a group's corner is the dialog box launcher.
Title bar
At the very top; shows the document's name, e.g. Document1 - Word.
Quick Access Toolbar
Small buttons at the top-left: Save, Undo, Redo.
File tab
Opens the Backstage View: New, Open, Save, Save As, Print, Close.
Ribbon
The strip of commands, arranged in tabs (Home, Insert, Design, Layout, References, Mailings, Review, View, Help). Each tab has groups: the Home tab has Clipboard, Font, Paragraph, Styles and Editing.
Dialog box launcher
The tiny arrow at the bottom-right of a group; opens a box with more options (e.g. the Font dialog box).
Document window
The white page where you type.
Scroll bars
Vertical and horizontal bars to move up/down and left/right.
Status bar
At the bottom: page number (Page 1 of 2), word count, language, document views and the Zoom slider.

New documentFile β†’ New β†’ Blank documentCtrl + N
SaveFile β†’ Save / Save As β†’ type a file name β†’ Save (or the Save button on the Quick Access Toolbar)Ctrl + S
Save As (new name or place)File β†’ Save AsF12
OpenFile β†’ Open β†’ choose the file β†’ OpenCtrl + O
CloseFile β†’ CloseCtrl + W

The first time you save, Word asks for a file name. A Word file gets the extension .docx β€” so a file saved as School becomes School.docx.

⚠️ Olympiad trap

Ctrl + O = Open (not close) and Ctrl + W = close (not save). Ctrl + P = Print, while paste is Ctrl + V.

Where in the Word window can you see how many words you have typed?

  1. Title bar
  2. Status bar
  3. Quick Access Toolbar
  4. File tab
The status bar at the bottom shows the page number, word count and zoom slider. (Review β†’ Word Count also works.)

3Selecting & editing text

Making changes in a document is called editing β€” copying, moving, deleting, finding and replacing. Before you change text you must select it; selected text is shown highlighted. The blank strip in the left margin is the selection area.

To select…With the mouse

A sentenceHold Ctrl and click anywhere in the sentence
A paragraphTriple-click anywhere in the paragraph (or double-click in its left margin)

Move, copy, delete

Undo and Redo

Undo (Ctrl + Z) cancels your last action. Redo (Ctrl + Y) reverses the Undo β€” it does the undone action again. Both buttons are on the Quick Access Toolbar.

✏️ Worked example
  1. Sara deletes a sentence. β†’ the sentence is gone.
  2. She presses Ctrl + Z (Undo). β†’ the sentence comes back.
  3. She presses Ctrl + Y (Redo). β†’ the delete happens again, so the sentence is gone.

Which mouse action selects a single sentence in Word?

  1. Double-click on a word
  2. Triple-click in the paragraph
  3. Hold Ctrl and click in the sentence
  4. Press Ctrl + A
Ctrl + click = sentence. Double-click = word, triple-click = paragraph, Ctrl + A = whole document.

4Spelling, grammar & the Thesaurus

Word has a built-in dictionary and grammar rules. As you type, it marks possible mistakes:

My best freind and I is in Class 4. Red wavy line = spelling mistake Double blue line = grammar mistake
How Word marks mistakes.

Check spelling and grammar

  1. Click the Review tab β†’ Spelling & Grammar (or press F7). The check starts from the cursor and covers the whole document.
  2. An Editor pane opens on the right and shows the first mistake with suggestions. Click a suggestion to fix it (open the … next to it and choose Change All to fix it everywhere).
  3. Or choose: Ignore Once (skip it this time), Ignore All (skip all its uses in this document) or Add to Dictionary (teach Word the word, so it is never marked again).

Quick way: right-click a word with a red wavy line and pick the right spelling from the list.

Thesaurus β€” find a better word

The Thesaurus gives synonyms (words with similar meanings) β€” and some antonyms β€” to improve your vocabulary.

  1. Select the word (e.g. happy).
  2. Click Review β†’ Thesaurus (or press Shift + F7). The Thesaurus pane opens on the right.
  3. Point to a synonym (e.g. cheerful), click its drop-down arrow and choose Insert. The old word is replaced.
⚠️ Olympiad trap

F7 = Spelling & Grammar. Shift + F7 = Thesaurus. Olympiads love to swap these! Also, Ignore All sounds permanent but works only in the current document β€” Add to Dictionary is the permanent one.

Remember: F7 checks β€” Shift it and you shift to a new word (Thesaurus).

Which key combination opens the Thesaurus?

  1. F7
  2. Ctrl + F7
  3. Alt + F7
  4. Shift + F7
Shift + F7 opens the Thesaurus. F7 alone opens Spelling & Grammar.

5Formatting a document

Formatting means changing the appearance of a document to make it attractive β€” font, size, colour, alignment, spacing. Use the Font and Paragraph groups on the Home tab. Always select the text first.

Font

Alignment

Alignment is the position of text between the left and right margins. The buttons are in the Paragraph group on the Home tab.

Align RightCtrl + RDates, references, signatures
JustifyCtrl + JText lined up evenly with both margins β€” books, magazines, newspapers
⚠️ Olympiad trap

Centre is Ctrl + E, not Ctrl + C β€” C is already taken by Copy! Think: "cEntre".

Line spacing and paragraph spacing

Line spacinggap between lines of a paragraph Paragraph spacinggap before/after a paragraph
Line spacing vs paragraph spacing.
  1. Select the paragraph.
  2. Click the Paragraph dialog box launcher (Home tab β†’ Paragraph group). Select the Indents and Spacing tab.
  3. In the Spacing section, type the paragraph spacing in the Before and After boxes, and choose the Line spacing (e.g. 1.5, Double). Click OK.

Quick way: the Line and Paragraph Spacing button in the Paragraph group.

Which alignment makes both the left and right edges of a paragraph straight, like a newspaper column?

  1. Justify
  2. Center
  3. Align Left
  4. Align Right
Justify (Ctrl + J) spreads the words so the text lines up with both margins.

6Print preview & printing

Before printing, check how the page will look on paper. This is Print Preview.

  1. Click File β†’ Print (or press Ctrl + P). The Print window opens, and a preview of your document appears on the right.
  2. Use the arrows below the preview to see each page, and the Zoom slider (bottom-right) to magnify it.
  3. Choose the printer from the Printer list and type the number of Copies.
  4. Under Settings, click the arrow next to Print All Pages and choose what to print (see below).
  5. Click the Print button to get the hard copy.
SettingPrints…
Print All Pagesthe whole document
Print Selectiononly the text you selected
Print Current Pageonly the page you are looking at now
Custom Printthe page numbers or range you type, e.g. 2-4

Arjun wants to print only pages 3 to 5 of a 10-page story. Which setting should he choose?

  1. Print All Pages
  2. Print Current Page
  3. Print Selection
  4. Custom Print
Custom Print prints the page numbers or range you type in (3-5).

7MS Paint: the window and its tools

MS Paint is a drawing program that comes with Windows. Open it: Start β†’ Windows Accessories β†’ Paint, or type Paint in the Search box. Its window has a title bar, a File menu, the Home and View tabs, the ribbon, the white canvas (drawing area) and a status bar. The Home tab has the groups Clipboard, Image, Tools, Brushes, Shapes, Size and Colors.

Text (A)Types text (a name or description) on the picture. A Text tab appears to choose font, size, bold/italic/underline and an opaque or transparent background.
EraserRubs out part of the picture β€” it actually paints with Color 2 (the background colour).

SizeChooses the thickness of lines, brushes, shape outlines and the eraser.

Color 1 and Color 2

Shapes

The Shapes group has Line, Curve, Oval, Rectangle, Rounded rectangle, Polygon, triangles, diamond, pentagon, hexagon, arrows, stars, speech bubbles, a heart and lightning. Outline and Fill choose how a shape's border and inside are painted (the outline uses Color 1; the fill uses Color 2).

⚠️ Olympiad trap

The Color picker copies a colour from the picture; Fill with color pours colour into a closed shape. To make a perfect circle, hold Shift (not Ctrl).

In Paint, which colour does the eraser leave behind?

  1. Color 1
  2. Color 2
  3. Always white
  4. Always black
The eraser paints with Color 2, the background colour. If Color 2 is white, it looks like it rubs out to white.

Saving a drawing

  1. Click File β†’ Save (or Ctrl + S). The first time, the Save As dialog box opens.
  2. Choose the folder, type a file name (e.g. MyGarden).
  3. In Save as type, pick a format: PNG (the default in Windows 10), JPEG, BMP, GIF or TIFF. Click Save.

Until you save, the title bar shows Untitled - Paint. After saving it shows your file name. (Old versions of Paint, like the one in Windows XP, saved as .bmp by default β€” many olympiad questions still use .bmp as "the Paint file" answer.) Save stores the drawing permanently on the disk; Save As (F12) saves a copy with a new name or type.

⚠️ Olympiad trap

.docx = Word, .pptx = PowerPoint, .txt = Notepad, .png / .bmp / .jpg = pictures (Paint). A Paint drawing is never a .doc or .xls file.

Nikhil copied a red flower from a white area onto a green field, and a white box shows around it. What should he have turned on?

  1. Gridlines
  2. Flip horizontal
  3. Transparent selection
  4. Free-form crop
Transparent selection leaves out the background colour, so only the flower moves.
